Our client is a global producer of consumer goods operating in 100+ countries with more than 45,000 employees. They are committed to preserving a consistent brand image and product quality while keeping up with the latest technological innovations to help the business grow and maintain efficient and sustainable operations.

Business challenge

Our client noted issues with employee onboarding and offboarding, the lack of a unified approach to assessing the quality of engineers hired for projects, and general inconsistencies in people management. At the same time, departments had no common corporate access management system and faced difficulties with rotating employees between projects.

To resolve these problems, the company reached out to Intellias, its long-term technology partner, to consult on organizing an efficient people management system and introducing unified communication principles.

After an initial discovery phase, our PMO experts found that the client’s organization was running multiple projects and products without proper synchronization, which impaired PM efficiency. At the same time, the company lacked effective cross-functional communication and common orchestration of project streams.

Solution

Based on analysis of the client’s system, our PMO experts determined two main areas for improvement: general governance and communications in people management.

To enable visibility and accountability, we assigned teams to specific projects, with a dedicated “team of teams” coordinating all processes. Our PMO consultants used Intellias PM playbooks to adapt our staffing, onboarding, offboarding, and other people management practices as well as communication procedures to the existing business processes in our client’s organization.

To accelerate and unify PM processes, we implemented automations enabled by ServiceNow and Jira:

  • ServiceNow: project and program management
  • Jira: people management

These tools simplified the administration of employee requests and the resolution of various issues people might encounter in the course of their work.

Using Intellias PMO expertise, our team unified people management processes for the organization, implementing the same procedures for onboarding of all employees:

  • Introducing the team and its routines
  • Assigning hardware, software, and other company assets
  • Providing access to company systems and managing permissions

Our PMO consultants continue supporting the client in project and program management, assisting them with issues as they arise and maintaining the PM software.
