The client is required to comply with a growing set of EU sourcing regulations, including the EU Deforestation Regulation (EUDR), the German Supply Chain Due Diligence Act (LkSG), and the Corporate Sustainability Due Diligence Directive (CSDDD). To manage this, the client adopted osapiens HUB, an ESG platform that runs the checks and secures the certificates needed to bring goods into the EU legally.
Intellias built the integration layer connecting the client’s ERP and supplier systems to osapiens, replacing a manual, spreadsheet-driven compliance process with an automated data flow. The first phase of automating retail compliance, targeting EUDR, was delivered in six months. It became the foundation for a longer-term partnership that has since expanded into additional projects.
Business challenge
Compliance reporting was handled manually. Data for LkSG was entered into osapiens by hand, pulled from multiple internal sources with no standardized process. This approach carried real operational risk: it was labor-intensive, error-prone, and unable to scale as new regulations added more data requirements.
The core gap was a lack of automated connectivity between the client’s ERP systems, its supplier ecosystem, and the osapiens platform. Without it, the client faced a specific and costly consequence: if compliance data isn’t sent to osapiens in time, or the resulting certificate isn’t received back before a shipment reaches the border, the goods get held there until the paperwork clears. Every SKU crossing into the EU needs a certificate-backed sticker to be released, so a delay in the data flow becomes a delay on the ground, with goods sitting at the border and supply chain costs stacking behind them.
Solution
Intellias built an integration layer that manages the full data flow between the client’s systems and osapiens in both directions. Internal data from the Synapse data lake and other systems flows through a data collection layer into a central persistence layer, which transforms it into the format osapiens requires and routes it to the platform for certification checks. Certificates and compliance results flow back the same way, landing in the systems the client’s logistics teams rely on to release goods for delivery.
The integration layer is built around four core capabilities:
- connectivity management to keep the connection between systems reliable and secure
- data orchestration and routing to make sure the right data reaches the right destination at the right time
- data transformation to convert data between the formats each system expects, and error handling to catch and manage failures before they affect a shipment.
The first phase focused on EUDR and was delivered in six months, on the client’s original timeline. The regulation’s own launch date has since been pushed back by EU regulators, which means the team is now updating the integration to match the revised requirements ahead of the new expected launch.
Business outcomes
- Regulatory compliance without manual overhead. The client can meet EUDR, LkSG, and CSDDD requirements through an automated pipeline instead of manual data entry, removing a process that couldn’t scale as new regulations were added.
- Fewer supply chain delays. With compliance data and certificates flowing automatically between systems, goods are less likely to get held at the border waiting for paperwork, reducing the delivery delays and added logistics costs that came with the manual process.
- Less manual work for the operations team. Automating the data flows that were previously handled by hand freed up operational capacity that had been spent on manual entry and checking.
- An expanded partnership. Delivering the first phase on time and within scope built the trust that led to additional projects, extending the collaboration well beyond the original compliance integration.
